Send reminders on a schedule
One reminder isn't enough, and a reminder the night before is often too late for anyone to rebook. A simple schedule that works for most shops:
- When they book: a confirmation with the date, time and your address
- Two days before: a reminder that asks them to confirm
- The morning of: a short heads-up with anything they need to know, like parking or drop-off time
Text works better than email for reminders, because people actually read texts.
Asking for a reply does more than remind. It gives you an early warning. If someone hasn't confirmed by the day before, you know to call them or open the slot to your waitlist.
Post a clear cancellation policy
A policy only works if people see it before they book. Put it on your website, in your booking confirmation and on your counter. Keep the tone friendly and the rule simple:
You don't need to enforce it every time. Having it written down makes the conversation easier when you do.
Use deposits where they matter
Charging every client a deposit can feel like overkill for regulars who've been coming for years. Deposits make the most sense for:
- Brand-new clients booking their first visit
- Anyone who has already missed an appointment
- Long or premium services that block out a big part of your day
A payment link sent with the booking confirmation makes this painless.
Keep a waitlist and use it
Cancellations will still happen. The difference is whether that slot sits empty. Keep a simple list of clients who want an earlier appointment. When something opens up, text the list and give the slot to whoever replies first.
Rebook before they leave
The easiest appointment to keep is the one booked at pickup. Ask every client to book their next groom before they walk out, and they'll get the same reminders automatically. Regulars on a schedule rarely no-show.
